Step-By-Step Guide

Step One: The Flight Quote and Request Process

  • Call MedFlight of Ohio’s 24 hour a day Communication Center at 1-800-222-LIFE (5433)
  • Give your name, number and the intended flight to the Communication Specialist (Sending City & State and Receiving City & State)
  • The Flight Coordinator will call back with a quote and discuss the process and options within approximately 30minutes of your initial call.
  • Receive a quote via phone, fax, or e-mail
  • Review the quote with the patient, family or caregiver
  • Call the Communication Center to confirm the flight with the Communication Center and Flight Coordinator

Step Two: The Notifications

  • At this point the Flight Coordinator will make all notifications.
  • The Captain and Co-Captain will be alerted and will obtain an updated weather briefing, make all custom arrangements if needed, and file a flight plan with the FAA.
  • The Flight Coordinator with the assistance of the Communication Center will confirm bed availability at the receiving facility, make ground ambulance arrangements, complete all financial matters, update the sending facility of arrangements and estimated arrival time.
  • The Fixed Wing Medical Team Leader will notify the Medical Team of the upcoming transport.  While working together with the Medical Team, they will receive a medical report from the patient’s physician or nurse, select the proper equipment for the flight and discuss the flight with the patient & family if needed.

Step Three: The Transport

  • Once the arrangements and bed availability have been confirmed, the Medical Team will greet the patient at their bedside and obtain an updated medical report from the hospital staff.
  • The patient, Medical Team and a family member will be transported to the airport.
  • The patient, family and their belongings will board the aircraft.
  • The Medical Team will remain in contact with the Communication Center throughout the flight so that other family member may also be updated on the patient’s condition and updated arrival times.
  • An ambulance will be waiting upon our arrival and the Medical Team will accompany the patient to the receiving facility.
  • Once the patient and family are secure at the receiving facility, we will update the sending facility and any family members you would like for us to call.
